Board of Directors Meeting

 

Thursday – October 27, 2016

 

Meeting Called to Order at 6:59pm

Board Members present: Chairman Bill McGinnis, Directors Alvin Corenblum, Bernie Harkins, John Herega, Larnie Cross, Sandy Moraco, Hans Zassenhaus, Conway Williams and Frank Giaccone. 

 

Others in attendance: Jim Spallone President, Patty Porter Secretary, Anne Bell Office Admin and Dave Adamovich, Shop Administration.

Meeting called to order by Bill McGinnis. The quorum was established based on directors’ present. Motion to approve the 9/22/16 minutes made by Conway Williams and second by Alvin Corenblum was approved unanimously by all.

 

Reports

President – Jim Spallone: To date we have 947 members with 30 waiting for certification.  We last counted 50 visitors who signed the visitor guest book. Jim had to replace the guest book sign-in sheets; therefore, we probably had a lot more than 50 visitors this past month and expect to have a lot of visitors up until March. Our designated Villages District Maintenance contact reported that the Shop is on the docket to have our doors and locks repaired. Jim will continue to follow-up on a regularly until they have been repaired.  We received a call from Carrier that there is a recall their air conditioner part; Jim gave them the name of our Villages District Maintenance contact, since they are responsible for the air conditioning.

 

Our participation in the Festival of Tree’s is underway. Linda Samson has been collecting ornaments from members for the tree. Our tree has been purchased.  The tree will be set-up in the shop before taking it to the Waterfront Inn wherein it will be auctioned off, with the proceeds going to the Special Olympics.

 

We received a request from the Villages Regional Hospital Auxiliary asking if we would donate something for a fund-raising event they’re having on 2/11/17.  The Auxiliary does a lot for the Villages community. Andy McTear has agreed make a turned bowl to donate for this fundraiser on behalf of the Club at Jim’s request.

 

Vice President –Harm Borfitz: Not in attendance

 

Treasurer – Jim Spallone for Doug Parks: Financial Reports: Balance Sheet as of September 30, 2016 – Total Liabilities and Equity $278,668.51. Profit & Loss Budget vs. Actual from January through September 2016 - Net Income (-) $15,564.22 Budget $7,749.00 Over Budget $7,815.22 and % of Budget 200.86%.

 

Jim presented the 2017 Operational Budget, line by line to the Board and answered all applicable questions.  The Board approved the 2017 Operational Budget with an estimated total expense of $154,814.17 and estimated net ordinary income of $26,105.83.  Motion to approve the budget made by John Herega and second by Frank Giaccone and unanimously approved by all.

 

The Capital Budget Forecast will be reviewed for approval in November. Jim is waiting for input from John Herega, Dave Adamovich and Bob Beherns.

 

Other Reports and Updates

 

Office Administration – Anne Bell:  Provided the Board with an overview on how we use our Monitor Sub’s to illustrate that the club cannot support having 3 shop floor monitors from October to April, when the part-time residents are in Florida.   

 

Safety Committee – John Herega: Still waiting to work with Bob Matthews to put together a training program for the instructors, covering the safety aspects of the machines and tools the instructors use in their classes. Committee is considering making videos on each class for all the students to watch prior to the class, illustrating the safety of each machine and tool they will be using. Viewing of these video’s will be mandatory for each class regardless of how many times they may have watched previously. 

 

Turners – John Herega:  No report

 

Member Apparel – John Herega:  Still working out the details with Custom Apparel at Southern Trace. He will have samples of the apparel members can purchase at Custom Apparel.  Turning smocks, tool aprons and turning shoe cover’s will be still be sold by the Club.  He hasn’t worked out the details on having our club logo sewn on these items, yet.

 

Shop Administration – Dave Adamovich:  Nothing to report, other than he’s still waiting to hear back from The Villages regarding the duct system and air conditioning.   Dave submitted on behalf of Bob Beherns, Tool Crib Manager, a written request to purchase a computer and bar coding software to allow for tools in the crib to be bar coded, so they can be scanned when checked out by members.  The Board tabled this request, as there was insufficient information and data, i.e. documentation to support the loss of tools, lack of member training, as well as documentation to support how and who would train the tool crib monitors to use the computer and software.  

 

Toys – Conway Williams: The total number of toys produced through 9/30/16 is 5279. The toys produced so far in October are 326, with a year to date total of 5605.  In September, we shipped out 4276 toys with a donation value of $33,738.  In September Toys collected $506 selling toys on the square.  Toys will be set-up to sell on Thursday November 10th at Lake Sumter Landing and on November 21st in Spanish Springs.

Cody with The Villages advised that we’ll have a space in 2017 to sell toys on the square during market nights. 

 

Special Projects – Hans Zassenhaus:  Reported we have 70 special project repairs back logged. The incoming special project repairs is increasing with the seasonal residents returning.  

 

IT Committee– Mike Borfitz:  Not in attendance

 

PR – Mike Borfitz:  Not in attendance

 

New BusinessBill McGinnis:  2017 Operational Budget reviewed and approved by Board. Bill advised of the candidates running for the Board. Dave Adamovich did not have an update on the vacuum system. Bernie Harkins and Jim Spallone reported they have not received a response to the letter sent to Janet Tutt, District Supervisor, of The Villages regarding our request to expand the size of the shop. Sandy Moraco provided Christmas party update.  Members can, again this year, purchase their tickets at the front desk. The cutoff date for selling tickets is December 3rd.  We’ll have 48 tables that seat 8 each. We can add tables if need be.  Alice Bessler has begun collecting raffle and door prize items.  The raffle items will be displayed at the shop. 

 

Secretary reminded Board Members that the next meeting is on November 17th.
