EOC Meeting

July 12, 2016

Purpose: To serve as a forum to communicate matters pertinent to the administration and usage of the VWC shop and to identify opportunities to work together within the management team for the overall good of the club. 

* No follow-up items from the last meeting to discuss.

* Items to discuss:  Anne Bell, death of Joe Humphrey’s who made our name tags, Dave Adamovich, monitor training, Larry Philips & Sandy Moraco, Christmas Party update.

* Management updates

          * D. Adamovich – Shop Administration: Has been dealing with a lot of the monitors in the mornings and would like to find out why the monitors don’t know how to take care of the equipment. Seems like monitor training is teaching how to use the equipment verses how to monitor the place. And he would like to have this changed so that, monitors know how turn on the overhead units, clean the vacuum system, where the parts are to do these things. Thinks the whole system of Monitor training needs to be changed.

Discussion: Dave does attend monitor once every two years and is familiar with the training. Bob Beherns every morning takes the monitors to show how to remove and reinstall the guards on the table saw, in which many don’t know how to do and are really timid in doing this. John Herega states all are shown how to do this in certification and some are not familiar due to when the first attended certification.  However during monitor training, Dick Besler, has the members who completed certification many years prior, have to stay after viewing the monitor training video, to have a hand’s one training on the new equipment. Monitor training does encompass members to have a walk-through the shop. The only members who don’t have to do a shop walk-through are the one’s who have just completed their certification training.  Dave Adamovich feels they are trying to teach them way too much at one time and all the information is not soaking in, rather than the basic of monitor duty. Anne Bell notice when she took monitor training, if the class is too large, you can’t see or hear the video on the TV.  The TV is too small and the video goes on for well over an hour and people loose interest and some even fall asleep. The video is too long.  John Herega said members are told to watch the on-line video for monitor training the night before serving monitor duty and very few actually watch the video on-line.  Patty Porter, something to consider, is to have a questionnaire following the certification and monitor training, to determine how well members have comprehended the training.   Hans suggested having a Monitor Hint Section added to the monthly newsletter.

Action:  Jim Spallone requested that a meeting scheduled by the latter part of the month or the beginning of the following month in the morning with Dick Besler, John Herega, Dave Adamovich, Bob Beherns and himself to come up with ideas of how to better the training of members and all acknowledge that this situation will never go away, because some folks don’t take their training as serious as they should.

Dave reports the 8-inch joiner is down again, the motor is not good. He’s working to get a new motor. The Delta table saw cable mechanism that releases the guard broke.  They’re going to leave it as is, the guard can be removed, but the knife cannot be removed.  His place in Miami doesn’t know how to converse with Delta, he went to Home Depot as recommended by Delta, with no long.

Larry Philips & Sandy Moraco – 2016 Christmas Party: Larry identified a caterer who would provide a full sit down dinner, including desert for $12.50 per person. We wouldn’t need to set-up tables or shop for table settings etc. It’s still BYOB. The cost would go up by $2.50 for members for a total ticket price for members of $12.50 verses last year’s $10.00 per ticket and Club pays $10.00 for each ticket purchases. However, we would need to change the date of the party from December 10th to another date, because the caterer is not available.  We can go with last’s year’s caterer, Francesco’s (“Pasta Fare”), for 25 cents more a plate, having chicken or salmon and with antipasto placed on the tables. The chicken and salmon will be served from the same table verses at different tables, because the chicken line was longer than the salmon serving line.

 

Discussion: Mike Borfitz advised that club cannot change of the date of the party, because we have to reserve the room at the Savannah Recreation one year in advance. As a matter of fact, we just submitted our 2017 Christmas party room reservation.  Mike said she would talk to the Savannah, but there is a snowball’s chance of changing the date. Larry advised, with the Board’s approval he’ll try to reserve the caterer La Hacidena for the sit down dinner and lock down price per person for 2017, once he confirms the Club’s party date for 2017. Larry advised we will go with Francecso’s and he’ll try to negotiate $10.00 a plate verses $10.25 a plate.

 

Action: Mike asked Larry to email her the 2017 date LaHacidena catering will be available to determine if we can use them in 2017, since we haven’t gotten the 2017 date from Savannah Recreation Center yet.  Mike will follow-up with Savannah to let Larry know if the 2016 Christmas party date can be changed as well provide the 2017 party date.

* A. Bell – Office Administration: Joe Humphrey’s our member nametag vendor has passed away. The plan going forward is the club will purchase the nametags, with the Villages Woodshop engraved and we’ll engrave the member’s name in-house. However, we ‘re missing pieces from our engraving equipment (that used in classes). We are looking to purchase the missing pieces on-line. Will consult with member, Brian Presley, who does laser engraving on the toys, to see if his equipment will laser engrave on hard plastic. The approximate cost purchase new engraving equipment is between $600 to $3,000 dollars. The name tags will be completed by an outside vendor, until a final process is in place. 

          * B. Bell  – Member Merchandise: No report.

          * B. Behrens – Tool Crib:  Tool crib is getting larger. Carver’s have requested to have 4 to six pieces be placed in the tool crib. Another wood burner has gone missing.

* M. Borfitz – IT and PR:  The new printer is in place and is working. On the PR side, The Villages Sales Department has asked Mike to host a trolley full of their sales force to an overview of the shop. They will arrive at the shop on Monday for an overview of the club. 

          * J. Herega – Safety, Turners and Member Apparel: 

Safety has been quiet, monthly meetings have been suspended for the summer.

Turners tools have been moved into the tool crib. Hearing rumor’s “why we can’t add one or two new lathes”. John would like to have five or more lathes, however, he would like to see a new piece of equipment added instead, such as a small CNC engraving machine. So all members could use verses new lathes that are only used by turners. 

Discussion: Jim Spallone suggested John set-up a meeting with himself, Dave Adamovich to discuss purchase of new equipment. Conway Williams asked to be part of this meeting, since the toy department already has a $17,000.00 kit laser machine that engraves.

Member apparel no change in our present vendor’s lack of availability, due to illnesses etc. If their status does not change by fall, John will look for a new vendor. He doesn’t want to change vendors, because this vendor has been with us a long time and has been very good to us. 

Discussion: Jim asked what do we do in the meantime? John said members can purchase apparel, but it won’t have their names on them. Mike asked, if we can get the club’s logo’s directly from the apparel manufacturer verses getting them from our retail vendor.  Such as, from companies such as Lands End that sells team logo shirts and you have the names added to them.  John said this can’t be done, because our vendor’s wife designed our logo and puts it on all the member apparel, however our vendor out sources member’s embroidered name.  Patty advises she purchases a turner’s smock and had her name embroidered on it by Custom Apparel in The Villages. John said this was okay, but we want all apparel to be uniform, fonts etc.   Jim Spallone said he and John will look at this when he returns the following week.

* B. Mathews –Education: No report.

* B. McGinnis – Carver’s: No report

* C. Williams – Toys:  Two concerns, running out of room, to store lumber and made toys.

          Discussion:  Jim Spallone suggested that they get together with Stephan Yovan to see, if additional storage is available in wood shed.

* S. Yovan –  Lumber:  No report

* H. Zassenhaus – Website and Special Projects:  New letters format is now approved and have been sent out.   Special build night for premade items scheduled for August 9th.
